TERMS AND CONDITIONS
The following Conference Terms and Conditions ("Terms and Conditions" or "Terms") apply to you and your participation in the Conference. Your Conference registration may include in-person programming (including admittance to general and concurrent sessions, exhibition, awards banquet, all conference materials and admittance to the virtual conference platform from 1-31 March 2024), virtual only programming (including admittance to the virtual platform that includes general sessions, concurrent sessions and awards banquet), and/or any optional pre-conference masterclasses (in-person only) you choose to add onto your Conference registration. "Attendee" for purposes of these Terms will include all participants at the Conference, including exhibitors, sponsors, speakers, press, partners and individual attendees. By participating in this Conference, you agree to these Terms so please read them carefully. These Terms include and incorporate by reference our Privacy Policy.
This conference is organized by Building Industry Consulting Services International ("BICSI"), which reserves the right, in its sole discretion, to limit or deny access to any entity or individual.
Payment Terms
Submission of a registration online, by phone or email, constitutes an official registration and intent to attend the Conference. Invoices are payable upon receipt, and full payment must be received in order to gain entry to the Conference. Please note that payments must be charged to Visa, MasterCard, American Express or Discover, or paid by check. Purchase orders are also accepted.
You agree that, in the unlikely event that BICSI cannot resolve a payment issue and you dispute the credit card charge, your electronic statement may be used as evidence that said charge is valid and just. Please remember the Conference fees do not include BICSI membership fees. If you have any question regarding BICSI membership fees, please contact the BICSI Membership & Volunteer Services department at membership@bicsi.org.
Registration Confirmation
Registration confirmations are auto-generated and sent to the primary email address on your profile. If you did not receive your confirmation, please contact bicsiwinter@bicsi.org or 800.242.7405 x. 841 or x. 7099 (USA and Canada toll-free) or +1 813.979.1991 x. 841 or x. 709.
Registration Cancellation
If circumstances change and you need to change your in-person conference registration to a virtual registration or vice versa, please contact our BICSI Meeting Services department via email at bicsiwinter@bicsi.org to request the change.
If cancellation of your conference registration is necessary, you may cancel your registration by providing written notice to the BICSI Meeting Services department at bicsiwinter@bicsi.org. Our Attendee cancellation policy is outlined below.
Conference registrations will be refunded if you notify BICSI of your cancellation in writing on or before 11:59 p.m. EST, Friday, 5 January 2024. A US$99 fee may apply to any such cancellation.
Pre-Conference Masterclass registrations will be refundable if you notify BICSI of your cancellation in writing on or before 11:59 p.m. EST, Friday, 5 January 2024. A US$20 fee may apply to any such cancellation. Those who registered for a Pre-Conference Masterclass and cancel after Friday, 5 January 2024 or who do not attend the masterclass are responsible for the entire masterclass registration fee. Substitution requests must be received by 3 p.m. EST on Thursday, 25 January 2024.
There will be no refunds given for any cancellations received after 11:59 p.m. EST, Friday, 5 January 2024. This can include, but is not limited to, failure to attend the conference and/or masterclass because of illness, alteration or rescheduling of the Conference by BICSI, or due to events beyond the parties' reasonable control, such as travel problems, natural disaster or weather emergency, civil unrest, epidemic, public health emergency (declared or undeclared), or an act of terrorism. For cancellations, received after the cutoff date with a balance due, the registration amount remains due in full.
Conference refunds approved by BICSI will be issued within 30 business days. All refunds will be issued back to the original payment form.
***Please remember that cancelling your conference registration does not automatically cancel your hotel and travel arrangements. Attendees are responsible for cancelling their own hotel and travel reservations.***
Substitution Policy
Substitution of registrations for the conference and pre-conference masterclasses may be made at any time up until 3 p.m. EST, Thursday, 25 January 2024. The substitute registrant will be responsible for any difference in registration cost due being member, nonmember or SIMS registrant.
Conference Cancellation or Modification
BICSI reserves the right to cancel, alter, or reschedule the Conference for any reason, including because BICSI determines in its sole discretion that the Conference cannot be held as planned.
For these reasons, registrants are advised against making non-refundable travel arrangements. Should you purchase non-refundable airline tickets or make non-refundable hotel reservations, you do so at your own risk.
Should BICSI cancel, alter, or reschedule some or all of the in-person portion of the Conference for any reason, your Conference fees will not be refunded unless you are not interested in the virtual program. As part of registration, most Attendees are automatically registered for and will be provided with access to the BICSI Winter Conference & Exhibition virtual platform, which includes access to recorded general and concurrent sessions. Further, Conference fees (including any optional events) may be converted to a credit. If applicable, this credit may be applied to the 2024 Fall or 2025 Winter Conference.
Continuing Education Credits (CEC) Policy
BICSI credential holders with a full Conference registration will earn continuing education credits needed for certification renewal. Attendees at the in-person event are required to check in at the registration desk to pick up their credentials in order to receive the continuing education credits awarded for the conference.
For the virtual full conference registration, the attendee must log in to the virtual platform in order to receive the continuing education credits awarded for the conference.
Exhibit hall only registrants do not qualify for continuing education credits.
Communications and Contact Information
For the purposes of these Terms, the term "Contact Information" means Attendees' names, company names, job titles, address, email address and phone. By registering, attending and/or participating in the Conference, you agree that BICSI may provide your contact information to select sponsors and exhibitors as stated in our Privacy Policy.
Communications From BICSI
By completing the registration process and acknowledging these Terms and Conditions, you are providing your consent to receive emails and other mailings from BICSI related to the Conference in order to facilitate your participation. Specifically, you are providing your consent to allow BICSI to use your Contact Information to facilitate access to Conference programming, BICSI virtual platforms, and related events, including Conference content, and optional pre-conference masterclasses.
BICSI Badge Scanning
BICSI uses badge scanning for in-person attendance. BICSI does so to share your registration Contact Information as described below, and may also do so to determine session attendance, manage session capacity, and enforce session restrictions. The scanning of your badge is your consent to having your registration Contact Information and other identifying information you provided to BICSI shared with Conference producers, exhibitors, sponsors, partners, and within the BICSI organization. Please be aware that exhibitor and sponsor scanning of attendee badges is optional, and you may refuse to have your badge scanned at booths as well as at the entrance to exhibitor sessions and functions without penalty; you acknowledge that if you do not permit sharing of your Contact Information in this context, you may not be able to attend certain sessions or functions.
Virtual Content Access
By completing the registration process and acknowledging these Terms and Conditions, you acknowledge and agree that BICSI will be offering certain virtual content via one or more virtual platforms. Depending on the platform(s) BICSI deploys, access to the virtual content may be through a website or through an app you need to download on your device(s). BICS will provide login credentials to you via email prior to the first session. Additionally, our virtual event platform will support features equivalent to scanning your badge at an in-person event. Like badge-scanning, BICSI will interpret certain actions you take in the event as a positive opt-in to sharing your Contact Information, including a specific sponsor or exhibitor receiving information about you.
Health and Safety
The safety and health of our members, credential holders, attendees, exhibitors, vendors and staff is of the highest priority, and we are actively monitoring the guidelines and recommendations from the government agencies as well as the Rosen Shingle Creek to ensure the safety of everyone involved. We will provide updates surrounding the BICSI Winter Conference & Exhibition as they become available.
Be sure to take note of BICSI's Know Before You Go email prior to travelling - this will contain the latest updates and information as to what is expected on-site. You should also ensure that you have reviewed any advisories or restrictions that may be in place for travel to the Untied States and for travel to Orlando. Prior to purchasing a ticket for and attending the BICSI Winter Conference & Exhibition, please ensure you have read the latest CDC Guidelines for Prevention.
Please be advised that travel and attendance at in-person events involves the risk of contracting communicable diseases. By registering for the BICS Winter Conference & Exhibition, you agree to comply with all safety protocols announced by BICSI or the facility. You also agree to waive and hold BICSI harmless from against any liability or expenses arising from the contraction or spread of communicable disease at the BICSI event.
Accordingly, you agree that you will not attend the BICSI Winter Conference & Exhibition if within ten (10) days preceding the Conference, you have:
- tested positive or presumptively positive for COVID or other communicable disease or been identified as a potential carrier of COVID or other communicable disease; or
- experienced any symptoms commonly associated with COVID or other communicable disease; or
- traveled to a country that is subject to a U.S. State Department Level 4 "Do Not Travel" health advisory or a CDC Level 3 Travel Health Notice (each, a "Prohibited Country"); or
- been in direct contact with or the immediate vicinity of (collectively, the "Encounter") any person who is either confirmed or suspected of being infected with COVID or other communicable disease or who has travelled to a Prohibited Country within the last ten (10) days preceding the Encounter.
Please Note: The guidelines in this document are based on information currently available regarding the behavior and characteristics of the COVID-19 virus, public health information and local or state guidelines with respect to large gatherings in any particular community. As more clarity with respect to these variables emerges, it is expected that these guidelines may need to be adjusted accordingly.
Use of Multimedia
By registering, attending and/or participating in the BICS Conference and Events, you consent to and grant to BICSI, the unrestricted, perpetual, worldwide, royalty-free and transferable right and license to use and to distribute (both now and in the future) your image and/or voice in photographs, videotapes, electronic reproductions, and audiotapes (both live and on demand) of the BICSI Conferences and Events.
You shall not photograph, audio, or video record any and all portions of the BICSI Conference and Events without the prior written consent of BICSI.
Code of Conduct
It is BICSI's goal to provide a welcoming environment for all participants at its events, in-person or virtual. Participants are required to engage in professional conduct at all times and to treat every other participant with respect. Any participant failing to follow this rule may be subject to removal from the event and other discipline at the discretion of BICSI.
The Conference is a private event, and weapons are strictly prohibited. Attendees are forbidden from carrying weapons of any kind, including concealed or displayed firearms or knives, onto the premises of the Conference. BICSI reserves the right, in its sole discretion, without refund, to deactivate and/or revoke the Conference credentials of Attendees who violate this policy. By registering for the Conference, you agree to comply with this policy, regardless of any signage located on the premises of the Conference.
No solicitation is permitted except by exhibitors within the confinement of their booths. BICSI reserves the right to escort any individual from the Conference who is reported to be soliciting and who is not a BICSI exhibitor.
For security reasons, badge swapping or sharing of access credentials is not permitted. Anyone found wearing a badge that does not match that person's identification or using another person's access credentials for the in-person conference will be evicted from the Conference without a refund, and that person's registration will be canceled. Additionally, anyone sharing their access information or login credentials in connection with any component of the BICSI virtual content will be restricted from future access to the event, and that person's registration will be cancelled.
A Conference badge allows an Attendee entry to the overall Conference but cannot guarantee admission to every session or meeting area. Admission is subject to venue capacity and other requirements.
Technology Use
You acknowledge that your use of technology during virtual Conference is not guaranteed. BICSI and its vendors will use their best efforts to communicate with Attendees regarding camera use in devices and computers, mobile app capabilities in iOS and Android, audio settings and headset use, and stylus use in the virtual event platform.
In no event shall BICSI be held liable for interruptions to internet access, power access, video camera access, or audio capabilities, nor of any similar interruptions to the virtual event platform for the duration of the posted BICSI website.
Dress Code
The dress code at the Conference, both in-person and virtual, is business casual. You are required to adhere to this dress code during all Conference activities, but not limited to, live video chat.
Reporting Dangerous Situations or Emergencies
If there is a situation that looks concerning or could be dangerous, notify Conference organizers onsite in a prompt manner or email us at bicsiwinter@bicsi.org. In the event of an emergency situation, please contact local authorities immediately.
Consequences of Violating These Terms and Conditions
BICSI reserves the right to, at its sole discretion, revoke the credentials of Attendees whose conduct is to be in violation of these Terms and Conditions or is otherwise deemed inappropriate, disorderly or offensive, and to do so without warning or a refund. This may also result in prohibition from registering or attending future conferences.
By registering for the BICSI Winter Conference & Exhibition, you agree to the terms and conditions listed above. Failure to comply with any of the above may result in registration cancellation without refund. BICSI reserves the right to expel anyone from the conference who does not comply with any of the above terms.
