Here you will find information on how to ship your materials to the event and also important information relating to the installation and dismantling of your exhibit space. 

Shipping Information

You have two options when shipping your materials to the event. You can ship in advance to the Freeman Warehouse and they will bring your materials to the event and deliver them to your table. You can also ship your materials directly to the venue and Freeman will receive your shipment and deliver your materials to your table. Please note the dates and costs associated with both options. For pricing for both options you can contact Freeman directly. Below, you will find an overview, along with shipping label examples as well as additional shipping information. 

*We stongly encourage everyone to ship to the Freeman Advance Warehouse as UPS and FedEx do not always deliver to hotels on weekends

1) Ship Materials in Advance to the Freeman Warehouse

Please note: All materials received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Officail Show Vendors. Refer to the material handling form on Freeman online. 

Freeman will receive and store advance freight at their warehouse beginning September 26, 2024 and will deliver the shipment to the venue for move-in. Freight being sent for storage at the warehouse MUST be received at the warehouse no later than October 22, 2024, to avoid additional after deadline charges.

2) Ship Materials Directly to the Venue

Freight will be received at the venue on the following date and during the following times: Saturday, October 26 1:00 PM – 5:00 PM To avoid additional after deadline charges, materials must arrive prior to show opening. Please contact Freeman directly for all costs associated with this option.

Move-in Information 

Move-In Schedule

    Note: Exhibits must be moved in and set up by Saturday, October 26 at 6:00 PM

Drayage / Material Handling

Drayage – or Material Handling – is defined as the transfer of exhibit materials from point of arrival at loading dock to exhibit location, removal of empty crates, return of crates, and return of exhibit to dock for load-out. If you will require labor for delivering your materials to your booth from the dock, union labor will be available to help you with your drayage. We encourage exhibitors to have their material delivered to the warehouse in advance to take advantage of the most cost effective material handling rates.

Hand Carry & Privately Owned Vehicles (POV's) POV’s are allowed to pull up to docks. There are no specific areas it is dependent on which halls and which dock are designated to event; these vehicles get parked to nearest ramp at entrance.  Any items coming in from the dock area would be subjected to material handling charges if items are too much for them to hand carry without using material handling equipment. 

Move-out Information     

Dismantling & Move-out hours

No display material, in whole or in part, may be removed from the exhibit area prior to the close of the show at 3:00PM, Tuesday, October 29, 2024.
  • Move-out Hours: Tuesday, October 29, 2024   3:00PM - 7:00PM
     

All exhibitor materials must be removed from the exhibit facility by October 29, 2024 - 7:00 PM. subject to change. To ensure all exhibitor materials are removed from the exhibit facility by the Exhibitor Move-Out deadline, please have all carriers check-in by October 29, 2024 - 5:00 PM. In the event your selected carrier fails to show on final move-out day, Freeman reserves the right to re-route your freight onto another carrier. 

Excessive Trash & Booth Abandonment Note that any excessive trash which consists of display materials, carpet, padding, crates and/or pallets will be disposed of and charged both a handling fee and disposal fee during exhibitor move-out. Clear out booth. Any excessive materials left in the booth at the end of the event will be considered trash.
Post Show Paperwork Freeman Exhibitor Support will gladly prepare your outbound Material Handling Agreement and label in advance. Complete the Outbound Shipping form and your paperwork will be available at show site. Be sure your carrier knows the company name and booth number when planning for shipping your exhibit at the close of the show.
