As you prepare for the event, please review the shipping and logistical information below to decide options will work best for you. Be sure to review all of this information to avoid surprises on-site. 

Shipping Your Exhibit

Air Shipments     Exhibitors who will be shipping via air may contact Freeman for services and answers to questions by calling 800-995-3579 or email exhibit.transportation@freeman.com.
    International Shipments Freeman Transportation is the official customs house broker for Accounts Payable & Procure-To-Pay Fall Conference & Expo. Please contact international.freight@freeman.com or +1.817.607.5183 for more information about any international shipments.

For your convenience, shipping labels have been provided below. Make sure all freight is clearly marked with your company name, Accounts Payable & Procure-To-Pay Conference & Expo and your booth number.

Shipping Options

If you will be shipping your materials to the event, please review your two options below. You can contact Freeman directly to obtain any related costs associated with either option. 

1) Ship in Advance to the Freeman Warehouse

We strongly encourage all booths to ship to the Freeman Warehouse to ensure that your materials will be in your booth so you can begin installation as soon as you arrive!


Freeman will accept crated, boxed, or skidded materials beginning Monday, October 17, 2022, and will deliver the shipment to your booth. 

All containers must be labeled as shown at the right. Warehouse materials are accepted at the warehouse Monday through Friday between 8:00am – 3:30pm. 

To avoid additional after deadline charges, materials must arrive by November 7, 2022.

2) Send Shipments Direct to the Venue
Freight will be received at the facility beginning Monday, November 14, 2022. Shipments arriving before this date may be refused and incur additional charges.

Please Note: All materials received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Officail Show Vendors. Refer to the mateiral handling form on Freeman online. 

Installation & Dismantling of your Exhibit

Installation & Move-In Hours

The installation of exhibits will take place as follows:
Monday, November 14th  8:00 am – 4:30 pm 


 *All freight must be moved in, Exhibits set up, and aisles clear by 4:30PM

Hand-Carry Policy/Drayage/Material Handling

The Local Union has jurisdiction for the operation of all material-handling equipment, all unloading and reloading, and the handling of empty containers. Exhibitors may unload their own personal vehicles provided they do not use any material handling equipment (fork-lifts, flatbeds, dollies, pallet jacks, etc.) Freeman will control access to the loading docks in order to provide for a safe and orderly move-in/move-out.

If you will require labor for delivering your materials to your booth from the dock, you may hire union labor through Freeman.  Rates for this service are outlined in this section under Material Handling.  We encourage exhibitors to have their material delivered to the warehouse in advance to take advantage of the most cost-effective material handling rates and to avoid additional handling fees incurred when shipping direct to the hotel. Please reference the Labor Jurisdiction document for complete details on labor regulations.

Union Labor

The Local Union has jurisdiction for the installation and dismantling of all exhibits including carpet, furniture, and hanging signs. All hired labor must belong to Local Union. Labor can be ordered in advance by returning the enclosed form, or on showsite, at the Freeman Service Desk. Three options for installation and dismantle labor exist in Texas. Labor may be:

• performed by full-time employees of the exhibiting company; or
• hired through Freeman, the offi cial general service contractor; or
• hired through an exhibitor-appointed contractor.

ELECTRICAL LABOR & PLUMBING
Responsible for the installation and distribution of all electrical outlets, cables and distribution equipment. This includes extension cords installed under carpet or any other type of flooring. Freeman is responsible for any hardwiring of equipment to installed electrical cables or disconnecting devices. Exhibitors are permitted to install their own lights, monitors, and other A/V equipment. Freeman is responsible for the installation and distribution of all water lines and the filling and draining of all water tanks. Exhibitors are permitted to connect their equipment to the lines installed by Freeman.

Empty Stickers When your crates, cartons and other containers are empty, obtain EMPTY STICKERS from Freeman’s Service Desk.  Use the stickers to mark your crates, cartons and containers with your company name and booth number.  Leave the items in the aisle for pick up and storage.  Labeled materials will be returned at the end of the show. Remove old empty stickers.  Old stickers could result in empties being delivered to the wrong booth.  Do not store anything in these crates or cartons.  You will not be able to access them once they are removed to storage.
Dismantling & Move-Out Hours

The dismantling of exhibits will take place as follows:
Wednesday, November 16th 1:30 PM – 5:30 PM

No display material, in whole or in part, may be removed from the exhibit area prior to the close of the show at 1:30pm on Wednesday, November 16th. Empty crates will be returned immediately after the removal of the aisle carpet. Due to the size of the show, it may take several hours to return all empty crates to the show floor.

Returning Your Freight

If you have not done so in advance, you may make arrangements to have your exhibit returned by visiting the Exhibitor Service Desk area on site.  Every outbound shipment will require a material handling agreement and labels which can be procured from Freeman.

Post Show Paperwork & Labels Freeman Exhibitor Support will gladly prepare your outbound Material Handling Agreement and label in advance. Complete the Outbound Shipping form and your paperwork will be available at show site. Be sure your carrier knows the company name and booth number when planning for shipping your exhibit at the close of the show.
Outbound Carriers All carriers must check-in no later than 3:30 pm on Wednesday November, 16th.  Drivers not checked in by this time will risk the possibility of their shipments going out on the house carrier at the exhibitor’s expense. Be sure your carrier knows the company name and booth number when planning for shipping your exhibit materials at the close of the show.
