Shipping, Move-in & Move-out Information

As you prepare for the event, please review the shipping and logistical information below to decide options will work best for you. Be sure to review all of this information to avoid surprises on-site. 

NEW THIS YEAR!

ALL VEHICLES coming in through the loading docks must pre-register online. This includes freight carriers and personally owned vehicles. The loading docks are at the same address, 369 12th Avenue.

Please note that we require all shipments to be shipped through W&S Logistics. W&S is the official logistics partner for Vinexpo America/Drinks America. For more information please review their Shipping Manual for instructions and all deadlines.

 

Please be sure to refer to the Shipping Manual for your country’s deadline. Many countries need their alcohol to be received at the warehouse NO LATER THAN February 10, 2023.

Many exhibitors have asked… Why W&S Logistics?

W&S is a trusted partner of Vinexpo events. Due to their quality customer service and proven track record with Vinexpo exhibitors, we have selected them as our exclusive alcohol shipping provider. We strongly advise that all alcoholic shipments be shipped through W&S. By using them, you have a service provider that has a stake in the success of Vinexpo America/Drinks America. They will carefully monitor your shipment to ensure a safe and timely arrival. Your alcohol shipment will be waiting for you at your booth when you arrive to set up. There will be a W&S representative onsite in New York to assist you with any questions.

If you are considering another Logistics Company, here are some things to keep in mind:

  1. Does the alcohol you’re shipping have distribution in New York? 
    • If yes, contact your importer for their assistance regarding shipping your alcohol to the US.
    • If no, you will need to go through the process of applying for a COLA Waiver with the US Government as well as getting your alcohol through US Customs. This is a complicated process that W&S is very familiar with, are you?
  2. Exhibitors sending individual shipments need to make arrangements directly with Cultivated NY to have their alcohol delivered to their booth – this delivery includes additional fees. Please contact Jennifer Miller at jennifer.miller@cultivatedny.com with Cultivated to make these arrangements. 
  3. W&S is the Vinexpo America/Drinks America Official Logistics Partner. This means that if anything should happen to your alcohol through the shipping process, Vinexpo America/Drinks America Show Management as well as W&S are here to provide additional support and assistance pre-event, onsite and post-event. Should you choose to work with another logistics vendor, show management and W&S can offer no additional assistance.

Alcoholic Freight

All Freight that includes alcoholic items must go through W&S Logistics. Please review their Shipping Manual.

Direct Alcohol Shipments to the Javits Center

If your product has distribution in New York State and you would like your distributor to deliver directly to the Javits Center, please follow these instructions:

  1. All product must be received within 7 days of the event start date (February 25, 2023).
  2. Please email shipping details and delivery vehicle license plate to Jennifer Miller at jennifer.miller@cultivatedny.com
    • ​The Javits now requires delivery drivers to provide vehicle license plate information PRIOR to entering the building. 
  3. Please include as much information on your shipment as possible. Please include:
    • Company Name
    • Booth Number
    • Contact Name
    • Contact Phone number
  4. Delivery Address is as follows:

      This is accessed on 12th Avenue and 40th Street at the “Truck Entrance”. The driver will pull up to the truck entrance, License Plate will be scanned which will grant them access to the building and provide bay information.

International Freight

W&S Logistics is the official customs house broker for all international freight (alcohol or non-alcohol) at the Vinexpo America/Drinks America.  

Label All Freight Please make sure all freight is clearly marked with your company name, Vinexpo America/Drinks America, and your booth number. Shipping labels have been included in the W & S Logistics Shipping Manual.

Material Handling

All material handling for both alcoholic and non-alcoholic items will be included in your W&S Logistics shipping costs. Price is based on weight.

MHW

MHW staff will be available at Vinexpo America/Drinks America offering assistance to exhibitors who do not currently have an importer. MHW will be available to act as a temporary importer, offering assistance to import and execute transactions during the event. Exhibitors using this service are not required to sign up with MHW as a client but can use their resources to close a deal at the show and assist with orders. Privately Owned Vehicle (POV) & Loading Dock Information

  • A Privately Owned Vehicle (POV) is defined as a passenger car, pickup truck or van.
  • Flatbeds, U-hauls or box trucks, 15' or longer are NOT considered POVs and will be subject to standard material handling rates.
  • Exhibitors may not hand carry any exhibit items through the front doors of the Javits expansion building. 
  • All vehicles, both POV and contracted delivery trucks, must check-in to the Hall 3 Loading Docks and unload in the designated unloading area.

Shipping Exhibit Materials
(Non-Alcohol)

If you have shipped non-alcoholic exhibit materials through W&S Logistics, those items will be delivered to your booth by Freeman Labor and you will be billed for that service via W&S Logistics. If you are shipping small, light exhibit materials perhaps consider carrying them with you (brochures, etc.), or sending them to your hotel.

Wine Delivery and Storage During the Event

Once W&S Logistics delivers exhibitor wine to the Javits Center loading dock, wine shipments will be delivered directly to their corresponding booth. When exhibitors arrive on Tuesday, wine that cannot be stored within the exhibitors booth can be placed into storage. Each exhibitor will be assigned a specific storage cooler to store their excess wine bottles. There will be many storage coolers throughout the event.

 

Exhibitors have 3 options for delivering wine from the storage area to their booth during the event:

  1. Exhibitors may hand carry their wine
  2. Event Management will have hand-trucks available for exhibitors to use to deliver their wine to their booth.
  3. Exhibitors may hire labor through Cultivated to deliver their wine for them. 

Important Hand Carry Information

Specific Hand Carry Rules for North Javits (new expansion)

If you intend to hand carry items into the event, please note the following:

  • The use of passenger elevators or escalators within the expansion space may not be used for the purpose of delivering or removing exhibitor product or materials;
  • The lobby of North Javits may not be used to access any part of the building for the purpose of delivering or removing exhibitor products or materials;
  • Hand-carried items into North Javits (new expansion) can only be brought in through the rear truck entrance of the building located at 369 12th Avenue and only during event specified times;
  • All vehicles should enter at 369 12th Avenue (corner of 12th Avenue & 40th Street) and will be issued a Javits Center placard in order to stage vehicles.

Important Notice Regarding Leftover Wine

Exhibitors have 4 options for leftover wines at the end of the event:

  1. If you have 1 case of wine or less (12 bottles or less) and would like to bring it with you at the end of the event, you may do so.
    • This exception is for EXHIBITORS ONLY. Attendees may not bring wine out of the hall with them at any time.
    • The wine MUST be your own product.
    • Not more than 1 case (if you have more than 1 case, please see #2 and #3 below to make arrangements).
  2. If you already work with a licensed New York State distributor, your distributor may pick up those wines that already have COLA approval at the end of the event. To do this, you must contact Cultivated NY to schedule a pick-up. You can visit them on site in the Exhibitor Service Desk at the back of Hall 3. 
  3. If you do NOT have distribution in New York State, and your wine was brought into the U.S. on a COLA waiver, and you would like to return your leftover wine to its place of origin, MHW Ltd. (Vinexpo America/Drinks America official importer) can help you. Please visit a MHW representative at their booth at the event.
  4. Leave wines in the hall at your booth. All leftover wine will be cleared away at the close of the event.
 

**Please be sure to remove your wine from the Cold Storage units immediately following the close of the event. Wines left in those storage units after 7pm on Thursday, March 9 will be discarded

Outbound Shipping of Alcohol

MHW, Ltd., the leading beverage alcohol service provider, has been contracted by Vinexpo America/Drinks America to be the official importer of beverage alcohol samples via the TTB Certificate of Label Approval (COLA) waiver process for the event. The waiver will be granted specifically for Vinexpo America/Drinks America and any ancillary activities related to the event (i.e. distributor presentations post event). COLA waiver guidelines dictate that any samples remaining at the conclusion of the event must be destroyed or returned to the foreign supplier.  This year, in addition to destroying or returning to the foreign supplier, participants with COLA waivers will be permitted to carry out from the venue, (1) 12-bottle case of samples per person; multiple carry out trips per person are prohibited. If more than (1) 12-bottle case remains, the product must be left at the venue for destruction. As a reminder, samples removed from the venue cannot, under any circumstances, be used for any other event or any consumer related activities.
