Shipping Perishables |
This section of the Exhibitor Resource Center includes perishable labels that can be used for your frozen products and refrigerated products. Be sure to attach the appropriate Freeze label or Refrigerate label (or use a similar notice) to all boxes containing perishable products to indicate the need to refrigerate or freeze the item. PLEASE NOTE: To expedite material handling, please place labels on the SIDES and TOP of your containers. All containers must indicate Company Name and Stand Number. IMPORTANT: Please do not mix dry cargo, chilled and frozen products on the same pallet.
Please Note: The Exposition Organiser and/or its agents will not be held liable if spoilage results due to incorrectly labeled packages containing perishables. If your boxes are not labeled upon receipt at the loading bay, they will be automatically placed in FROZEN cold storage. Please be very explicit about indicating in which storage unit you would like your product stored.
All perishables that are being sent directly to the exposition venue should be delivered to the Sands Expo & Convention and Exhibition Centre beginning at 09:00 am on 3 September 2024. The cold storage units will not be ready for service before that date and time.

Official Freight Forwarder/ Onsite Handling Contractor |
Rogers Expo Services (Singapore) Pte Ltd has been appointed as the Official Forwarder and On-site Handling Contractor for Seafood Expo Asia 2024. The appointment of an approved forwarder and on-site handling agent does not oblige exhibitors to use that carrier for the forwarding of goods to their stands, nor the returning of goods to their point of origin. However, by using the appointed carrier, you avoid extra charges and benefit from the convenience of having their representative available on-site at all times.
Please contact Rogers for the services provided including customs clearance, transportation, on-site handling, storage of crates, and re-export arrangements. Please refer to Roger’s Shipping Manual & Tariffs booklet or contact Rogers for more shipping information and quotation.

Customs Clearance |
For clearance of goods/exhibits through customs, Rogers will be able to give you advice on relevant aspects of import procedures, advance paperwork, and documentation requirements, along with providing you with a quotation on request. As well as the specific shipping instructions and the arrival deadline dates and schedules for equipment & exhibit display materials and different food & beverage products. |
Trader's License |
Only companies applied "Trader's License" can import food products to Singapore. The official forwarder of SEA - Rogers, does have the license. Exhibitors are highly recommended to appoint Rogers to handle freights, especially for the Live Seafood products.
Exhibitors shall send the packing list to Rogers for advance checking for the required documents and/or if any special requirements for importation.

Delivery of Goods to Exhibit Hall |
If you need to have something delivered to your stand (e.g. stand brochures, etc.) or you are using a courier to make a delivery, please arrange to have the delivery ONLY DURING MOVE-IN AND EXHIBITION DAYS in accordance with the exhibition schedule and have your packages addressed as follows:

Please ensure the delivery company/courier has the necessary lifting equipment to unload your consignment as the Organizer will NOT be responsible for any lifting requirements and storage of crates. A representative of your company must be on-site to receive and sign for the delivery. We are unable to accept responsibility for any goods delivered to un-staffed stands. Worker Badges will be needed for the deliveryman and Vehicle Pass is required for delivery vehicles.

Maintenance & Re-Stocking Stands |
All necessary maintenance and re-stocking (i.e. outside deliveries) of stands should be carried out each morning between 08:00 and 10:00 during the exposition days (i.e. 4-6 Sept. 2024), as Exhibitors will not be allowed to restock their stands during exposition hours.
Note: If you need deliveries from outside the exhibition center (e.g. regular deliveries of product) and to be made other than the above scheduled time, you must contact the Exposition Organiser (Diversified Communications) by email at rlam@divcom.com for the necessary arrangements.

Venue Access Policy for Move- In & Move-Out |
- For ALL vehicles entering the loading bays of Hall D, E and F for unloading/loading during move-in/move-out period and/or for restocking, the Vehicle Pass must be prominently displayed on the dashboard. Drivers may also be required to state the name of the event to obtain entrance to the loading bay.
- Each vehicle only can stay at the loading bays for 45 minutes.
- An identity card or driving license may be required to be presented at the entrance to the loading bay.
- Parking is not allowed at the loading bays.
- Private cars are not admitted into the loading bays of the venue.
- Drivers have to abide by the instruction of the security guards when entering the loading bays. PLEASE NOTE: Security guards have the right to deny access to the loading bays if the drivers fail to comply.
- The loading vehicle passes will be sent by email to non-official contractor one week before show move-in

Transportation Workers |
For all exhibitors having a courier company service delivering items/products to the venue during move-in and move-out period via the loading/unloading area: Transportation drivers/workers must obtain Workers Badges for identification purposes. |
Workers Badges |
Appointed contractors and forwarders of each exhibitor must have a Workers Badge. The Workers Badge must be worn at all times for security reasons for access in and out of the exhibition halls. Workers Badges are valid ONLY during move-in and move-out; Worker Badges are not valid during the exposition period. PLEASE NOTE: Security guards have the right to deny access to the exhibition halls if the appointed contractors and forwarders are unable to produce the required Workers Badge.
Exhibitors are responsible for obtaining these Workers Badges for their Appointed Contractors and Forwarders by submitting the Workers Badges Request Form by 26 July 2024. Workers Badges will be available for collection on-site at the Registration Area. Should you request to receive the Worker Badges in advance, please contact the organizer by email at rlam@divcom.com. Workers Badges for Contractors for Raw Space booths will be available for collection upon the submission of the contractor’s deposit and booth design approved by the organizer and official contractor. Lifting |
The Exposition Organiser will not accept any responsibility for the unloading of goods at the exposition. You must ensure your delivery/courier company has the appropriate means to unload your consignment; alternatively, a lifting, storage, and on-site handling service are available from the Official Freight Forwarder. |
Label All Freight |
Make sure all freight is clearly marked with the exposition name - Seafood Expo Asia, your Company Name, and your Stand Number. |
Cold Storage |
Organizer will supply complimentary cold storage for the perishable product samples you plan to distribute from your stand. If you require cold storage, you MUST submit the Cold Storage Request Form by 1 August 2024. Organizer cannot guarantee the availability of cold storage space to exhibitors who do not submit this form.
Lowe Refrigeration staff monitor all freezer and refrigerator storage. A representative will be available in the storage unit area to assist you with any questions you may have.

Storage |
Exhibitors’ own freight forwarders should be responsible for the storage of their empty wooden crates, package cases, etc. If storage is required, exhibitors should make prior arrangements with their forwarders or agents as no storage space will be available on-site. Those companies using Rogers will have storage provided for them by rogers. For companies not using Rogers as their forwarder, storage service with them is available for a fee.
Fire regulations prohibit the storage of boxes, packages, products, literature, or empty packing containers behind the back of stands or on stands. Offending items are liable to be removed without warning by the Organiser.

Ice & Seafood Removal |
Organizer will supply complimentary ice to exhibitors daily during the exposition days (Wednesday– Friday). Bags of ice will be delivered to exhibitor stands each morning before the exposition opens.
“ICE” flyers will be distributed to exhibitors the day before the exposition opens. At the end of each day, simply place the flyers in the bin(s) in which you want the ice left or in a visible place in your stand. If you need more ice during the day, please go to the Lowe Refrigeration Desk located on the show floor in Hall A.
Exhibitors are responsible for obtaining their dry ice. Please note that dry ice requests must be received in advance of the show – NO onsite dry ice orders will be available. Please contact: Rhoda Lam – rlam@divcom.com.
At the close of each exposition day, all ice trays/display containers should be emptied by the exhibitor. Should you need assistance, please contact Organizer (Diversified Communications) by email at rlam@divcom.com, before 1 August 2024 to get a quote on hiring a cleaning service to assist you during the exposition days.

Contractors Information |
Raw Space exhibitors MUST COMPLETE AND SUBMIT the respective Contractors Information by 1 August 2024 to the Official Stand Contractor “AMC (Exhibits) Ltd. The official stand contractor needs to collect the information regarding any contractors (standfitters and electricians), authorized personnel/registered structure engineers and freight forwards appointed by exhibitors to work on their behalf. |
Overseas Contractors |
If an overseas contractor is appointed to design and construct the stand, it is mandatory to comply with the requirements imposed by the Ministry of Manpower of Singapore to ensure the workers have valid working permits to work in Singapore. Personnel working in the exhibition must carry the Original work pass (Work Permit Card / Employment Pass) with them at all times and produce it for inspection upon request. Photocopied work pass is not allowed. Disposal Charges |
DISPOSAL OF CRATES, STAND FITTINGS, AND MATERIALS: The removal and disposal of crates, stand fittings, or construction materials are not covered in the sales of stand or space, and therefore are subject to an additional charge imposed by the Exhibition Venue or other sum as the Organiser may reasonably determine. |
Cleaning & Garbage Disposal |
All disposals of waste and stand construction materials etc. during the move-in and move-out periods is the responsibility of the individual stand contractors. Disposal of contractor’s waste materials by the Organiser will result in the contractor’s deposit being forfeited. In the case of Walk-On Package and Premium Walk-On Package stands, exhibitors who bring in shelving and stand fittings must not be left behind at the close of the exposition. It is the exhibitor’s responsibility to dismantle all stand fixtures built or brought in by themselves and remove all waste materials from the venue at the end of the exposition. Failure to comply will result in a charge for the labor and truck required to dispose of the materials. |
Move- In & Out Over- Time Penalty |
If the exhibitor or appointed contractors need to work after 2100hrs during the move-in or move-out days, they should seek approval from the Organiser and the Official Contractor at least four hours before the closing of the halls to obtain the actual over-time charges imposed by the venue. |
Working After Closing Time |
If at any time during the exposition open days an exhibiting company needs to perform maintenance to a stand after the exposition has closed, the company must request permission from the Organiser by 1400 hours on the same afternoon. Any charges imposed on the Organisers for such arrangements, e.g. lighting, air conditioning, and security, will be passed on to the exhibitor/contractor concerned. |
Returning Your Freight |
If not done in advance, you may have to arrange for your exhibits to be returned by the official freight forwarder “Rogers”, by visiting their Service Desk on the show floor. |
