Shipping Options
1) Ship Materials in Advance to the Freeman Warehouse
Please be sure to use the Advanced Warehouse Shipping Label provided in this year’s Exhibitor Resource Center for freight sent in advance to their warehouse!

To ensure materials arrive to your booth in time Advanced Warehouse shipping is strongly encouraged.
Begin Accepting Shipments:
Wednesday October 25, 2023 Warehouse hours are Monday through Friday, 9:00 AM - 3:00 PM.
Freeman does not accept:
- uncrated freight (loose, pad-wrapped material and/or unskidded machinery)
- COD shipments
- hazardous materials
- freight requiring refrigerated or frozen storage
- a single piece of freight weighing more than 5,000 pounds
- a single piece of freight beyond the dimensions of 108"H x 93"W
Deadline to Receive Advance Shipments:
November 16, 2023
- Materials delivered after November 16, 2023 will incur after deadline charge.
Certified weight tickets must accompany all shipments.

2) Ship Materials Directly to the Venue |
Onsite Shipments will be received during Exhibitor Move-in ONLY:
Sunday, November 26 12:00 PM - 5:00 PM
Monday, November 27 8:00 AM - 7:00 PM
Tuesday, November 28 8:00 AM - 7:00 PM
Please note all direct shipments:
- Arriving before these dates will not be accepted.
- Must be addressed Care of Freeman. The Austin Convention Center will NOT accept these deliveries and your freight risks remaining unclaimed on the docks and/or misplaced.
- Received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor.
- Must have Certified weight tickets.
- By Carriers or Delivery companies other than FedEx, UPS or Amazon must check-in at the Austin Convention Center Marshalling Yard prior to the delivery to the ACC Service Yard. The Marshalling Yard is new for 2023 - please provide your carrier/delivery company with these Marshalling Yard directions & map.
- By FedEx, UPS, or Amanzon can bypass the Marshalling Yard and deliver directly to the ACC Service Yard Entrance on Red River Street (between Cesar Chavez and Third Street.)
- Do not use USPS. They will not deliver to the Service Yard or wait at the Marshalling Yard.

Show Site Delivery by Carriers & Vehicles requiring assistance to unload
NEW MARSHALLING YARD LOCATION FOR 2023 |
Shipments by carriers and delivery companies other than FedEx, UPS or Amazon and those POV vehicles requiring assistance to unload must check-in at the Austin Convention Center Marshalling Yard prior to the delivery to the ACC Service Yard. Please refer to the Marshalling Yard Directions & Map in the Exhibitor Resource Center and provide to your designated carrier/delivery company driver. |

- Typically, "do-it-yourself" booths
Exhibitors using POVs
- Must use Austin Convention Center loading docks, freight elevators and freight doors of the Service Yard Entrance between Caesar Chavez and Third Street
- Will be provided a space in the dock area
- May not use any material handling equipment (forklifts, flatbeds, dollies, pallet jacks etc.)
- Refer to Service Yard & Loading Dock Information for directions and entry rules
- Refer to Labor Regulations document for material handling and labor regulations
- Material handling charges are the responsibility of the exhibitor. This also applies to items not ordered through Official Show Vendors.
- Refer to the material handling form and Freeman Online with questions.

Accessible Storage |
Storage for items exhibitors need to access during the show will be available through Freeman. Examples include:
- Giveaways
- Extra parts
- Extra AV equipment
- Other items needed during the event
Please note:
- This is not empty storage
- All orders must be placed on-site at the Freeman Service Center
- Storage rate includes all labor involved with pick up and deliveries
- Rates are for the entire show
- There are no daily storage rates.

Cart Service |
- For a fee, Cart Service for POVs at the docks can be ordered through Freeman
- Cart Service includes storage of empty cardboard/product boxes and empty stickers will be provided.
- Freeman worker will assist with loading and unloading of flat top scooters
- Loads will be under 3' W x 4' L and less than 300lbs
- Exceptions will solely be the discretion of the freight supervisor
- Refer to the Order Services page for Freeman's online ordering website

Hand Carry Policy |
Use of the exterior front doors is permitted for one item, one time, in or out IF the item:
- Can be easily carried by an individual without the need for a pushcart, dollies, or other mechanized equipment
- Is not on wheels. Rolling exhibit cases are NOT considered hand-carry items
No parking is allowed at the facility entrances.
The use of passenger elevators and escalators for movement of freight is not allowed.
All packages are subject to inspection by facility personnel.

- Booths 400 sq ft or larger & vehicles

- All Booths
Monday, November 27, 2023 8:00 AM - 7:00 PM

Tuesday, November 28, 2023 8:00 AM - 7:00 PM
Trailers over 30' must be brought into the Convention Center on Saturday, November 25, 2023. All other vehicles must be brought into the Convention Center during move-in hours on Sunday, November 26, 2023.

Important Installation Information
|
- Exhibits must be moved-in and set up in-full including clear aisles by 7:00 PM Tuesday, November 28th
- Full-time employees of exhibiting companies may set up their own booths without the assistance from union labor.
- Labor required outside of full-time employees must use Union Labor hired through Freeman only. Casual labor is not permitted.
- Overtime rates apply for labor performed Before 8:00 AM and After 4:30 PM Monday-Friday and 6:00 AM - 12:00 AM Saturday and Sunday. During event set-up hours, overtime rates will be applied:
- Sunday, November 26
- After 4:00 PM Monday, November 27 & Tuesday, November 28
- Exhibitor Appointed Contractors (EACs) are permitted for installation and dismantle ONLY if the EAC is a member of the appropriate labor union. Complete and submit the Exhibitor Appointed Contractor Form for approval.

Empty Crates |
To expedite transport of empty crates:
- ALL empty crates must be placed in storage as soon as they are empty.
- Indicate rediness for transport - Close crates securely with and "EMPTY" tag marked clearly with company name and booth number
- Tags are available at Freeman Exhibitor Service Desk
- Opened or un-tagged crates will not be removed
- Empty crates will be returned to your booth after the show.

Dismantle / Move-Out Information
Dismantling Your Exhibit
|
All exhibits must stay completely intact until the official show close at 4:00 PM Thursday.
Any form of breakdown is strictly prohibited
Dismantle hours:
Thursday, November 30, 2023 4:00 PM - 9:00 PM*
Friday December 1, 2023 8:00 AM - 2:00 PM
All exhibitor materials must be removed from the exhibit facility by 2:00 PM on Friday, December 1st.
*NOTE: Overtime rates will be applied for labor preformed Before 8:00 AM and after 4:30 PM Monday - Friday. Labor performed after 4:30 PM on Thursday, November 30 will have overtime charges applied.

Returning Your Freight |
- The Freeman Exhibitor Service Desk can assist in return shipments.
- Every outbound shipment will require a material handling agreement.
- The Outbound Material Handling Agreement can be done by Freeman in advance by request.
- All outbound carriers must check-in at the Service Yard no later than 11:00 AM Friday, December 2nd.
- Shipments with late carriers may be sent out by the house carrier at the exhibitor's expense.
- Be sure your carrier knows the company name and booth number.

Post Show Paperwork and Labels |
Freeman Exhibitor Support will gladly prepare your outbound Material Handling Agreement and label in advance. Complete the Outbound Shipping form and your paperwork will be available at show site. Be sure your carrier knows the company name and booth number when planning for shipping your exhibit at the close of the show. |
Outbound Carriers |
- Exhibitors moving out Thursday, November 30 should have carriers check-in by 7:00 PM.
- Exhibitors moving out Friday, December 1 should have carriers check-in to the Marshalling Yard by 11:00 AM.
- If your carrier fails to show on final move-out day, Freeman reserves the right to re-route your freight onto another carrier.
- Carriers must know the comapny name and booth number upon arrival at the Marshalling Yard and Service Yard.
