Shipping Options

1) Ship Materials in Advance to the Freeman Warehouse

Please be sure to use the Advanced Warehouse Shipping Label provided for freight sent in advance to the Freeman warehouse!  

To ensure materials arrive to your booth in time Advanced Warehouse shipping is strongly encouraged. 
Begin Accepting Shipments:
Wednesday October 16, 2024 Warehouse hours are Monday through Friday, 9:00 AM - 3:00 PM.
Freeman does not accept:

  • uncrated freight (loose, pad-wrapped material and/or unskidded machinery)
  • COD shipments
  • hazardous materials
  • freight requiring refrigerated or frozen storage
  • a single piece of freight weighing more than 5,000 pounds
  • a single piece of freight beyond the dimensions of 108"H x 93"W

Deadline to Receive Advance Shipments:
November 8, 2024

  • Materials delivered after November 8, 2024 will incur after deadline charge.

Certified weight tickets must accompany all shipments.

2) Ship Materials Directly to the Venue

Onsite Shipments will be received during Exhibitor Move-in ONLY:
Sunday, November 17         8:00 AM - 5:00 PM
Monday, November 18        8:00 AM - 7:00 PM
Tuesday, November 19        8:00 AM - 7:00 PM

Please note all direct shipments: 

  • Arriving before these dates will not be accepted.
  • Must be addressed Care of Freeman. The Austin Convention Center will NOT accept these deliveries and your freight risks remaining unclaimed on the docks and/or misplaced.
  • Received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor. 
  • Must have Certified weight tickets. 
  • By Carriers or Delivery companies other than FedEx, UPS or Amazon must check-in at the Austin Convention Center Marshalling Yard prior to the delivery to the ACC Service Yard. Please provide your carrier/delivery company with these Marshalling Yard directions & map.
  • By FedEx, UPS, or Amanzon can bypass the Marshalling Yard and deliver directly to the ACC Service Yard Entrance on Red River Street (between Cesar Chavez and Third Street.)
  • Do not use USPS. They will not deliver to the Service Yard or wait at the Marshalling Yard.

International Freight Freeman Transportation is the official customs house broker for The Running Event.
Show Site Delivery by Carriers & Vehicles requiring assistance to unload Shipments by carriers and delivery companies other than FedEx, UPS or Amazon and those POV vehicles requiring assistance to unload must check-in at the Austin Convention Center Marshalling Yard prior to the delivery to the ACC Service Yard. Please refer to the Marshalling Yard Directions & Map  in the Exhibitor Resource Center and provide to your designated carrier/delivery company driver.
Show Site Delivery by POVS (Personally Owned Vehicles)

POVs

  • Cars
  • Pick-up Trucks and Vans
  • Vehicles designed for passenger use
  • Typically, "do-it-yourself" booths

Exhibitors using POVs

  • Must use Austin Convention Center loading docks, freight elevators and freight doors of the Service Yard Entrance between Caesar Chavez and Third Street
  • Will be provided a space in the dock area
  • May not use any material handling equipment (forklifts, flatbeds, dollies, pallet jacks etc.)
  • Refer to Service Yard & Loading Dock Information  for directions and entry rules
  • Refer to Labor Regulations document  for material handling and labor regulations
  • Material handling charges are the responsibility of the exhibitor. This also applies to items not ordered through Official Show Vendors.
  • Refer to the material handling form and Freeman Online with questions.
Accessible Storage

Accessible storage for items that exhibitors need to access during the show will be available through Freeman.  Examples include giveaways, extra parts, extra AV equipment, etc. – it is not empty storage.  All orders for accessible storage must be placed on-site at the Freeman Service Center.  Storage rate includes all labor involved with pick up and deliveries. Storage and rates are for the entire show, no daily storage rate.

Cart Service
  • For a fee, Cart Service for POVs at the docks can be ordered through Freeman
  • Cart Service includes storage of empty cardboard/product boxes and empty stickers will be provided.
  • Freeman worker will assist with loading and unloading of flat top scooters
  • Loads will be under 3' W x 4' L and less than 300lbs
  • Exceptions will solely be the discretion of the freight supervisor

Hand Carry Policy

Use of the exterior front doors is permitted for one item, one time, in or out IF the item:

  • Can be easily carried by an individual without the need for a pushcart, dollies, or other mechanized equipment
  • Is not on wheels. Rolling exhibit cases are NOT considered hand-carry items

No parking is allowed at the facility entrances. 
The use of passenger elevators and escalators for movement of freight is not allowed.
All packages are subject to inspection by facility personnel.

The Running Event will utilize a targeted move-in schedule for 2024:

  • Booths 400 sq ft or larger & vehicles 
    Sunday, November 17, 2024   12:00 PM - 5:00 PM
  • All Booths
    Monday, November 18, 2024   8:00 AM - 7:00 PM
  • All Booths
    Tuesday, November 19, 2024   8:00 AM - 7:00 PM

Trailers over 30' must be brought into the Convention Center on Saturday, November 16, 2024. All other vehicles must be brought into the Convention Center during move-in hours on Sunday, November 17, 2024.

Important Installation Information

​*NOTE:  Overtime rates for install labor apply before 8:00 AM and after 4:30 PM Monday through Friday. On Saturday and Sunday, overtime rates will apply 6am-12am. Labor performed on Sunday November 17th and after 4:30 PM on Monday, November 18th & Tuesday, November 19th will have overtime charges applied. 

ALL FREIGHT MUST BE MOVED IN, EXHIBITS SET UP, AND AISLES CLEAR BY 7:00PM ON TUESDAY, NOVEMBER 19TH TO ALLOW FOR FINAL PREPARATION OF THE EXHIBIT HALLS FOR THE TRADE SHOW OPENING AT 9:00AM ON WEDNESDAY. 
 

Full-time employees of exhibiting companies may set up and dismantle their own booths without assistance fromunion labor.  If union labor is required, it must be hired through Freeman. The hiring of casual labor is not permitted.

Exhibitors may hire an Exhibitor Appointed Contractor (EAC) to supervise the installation and dismantling of their exhibit. The EAC will not be allowed to perform labor required to set-up and dismantle the exhibit unless they are members of the appropriate local union. If you are planning to use an Exhibitor Appointed Contractor, please complete the Exhibitor Appointed Contractor Form.

Empty Crates

It is important to the success of our move-in that crates be removed from the floor and placed in storage as soon as they are empty. All empty crates should be closed securely with an “EMPTY” tag affixed so they can be removed and placed into storage. 

Open or untagged crates will not be removed and will clutter both the aisle and your booth. A clearly marked “EMPTY” tag, containing your booth number and company name, securely attached to your empty crates will expedite their removal, “EMPTY” crate tags may be obtained at the Freeman Exhibitor Service Desk at any time. Crates will be returned to you at the close of the show. 

Dismantle / Move-Out Information​     

Dismantling Your Exhibit

Exhibitors are not allowed to break down or remove any part of their exhibit, display material or merchandise from the exhibit floor prior to the official show close at 4:00pm on Thursday.

Dismantle hours:
Thursday, November 21, 2024    4:00 PM - 9:00 PM*
Friday November 22, 2024             8:00 AM - 2:00 PM
All exhibitor materials must be removed from the exhibit facility by 2:00 PM on Friday, November 22.

Returning Your Freight If not done so in advance, you may make arrangements to have your exhibit returned by visiting the Exhibitor Service Desk area onsite.  Every outbound shipment will require a material handling agreement and labels which Freeman can provide.
Post Show Paperwork and Labels Freeman Exhibitor Support will gladly prepare your outbound Material Handling Agreement and label in advance. Complete the Outbound Shipping form and your paperwork will be available at show site. Be sure your carrier knows the company name and booth number when planning for shipping your exhibit at the close of the show. 
Outbound Carriers

​If you are planning on moving out on Thursday, November 21 2024, schedule your carrier to check-in by 7:00 PM that evening. Otherwise, all outbound carriers must check-in at the Service Yard no later than 11:00 am on Friday, November 22.  In the event your selected carrier fails to show on final move-out day, Freeman reserves the right to re-route your freight onto another carrier. 

Be sure your carrier knows the company name and booth number when planning for shipping your exhibit materials at the close of the show
