You can quickly preview any updates you make to your Online Booth profile by clicking on the computer screen icon beside your booth number in the Exhibitor Console.

To update your online booth profile:

  1. Log in using the password found in your welcome email.
  2. Navigate to the "Exhibitor Console" and then select "Edit Booth Info".

  3. Fill in your company contact information.
  4. Scroll to the section where you are asked for "Website Url" and enter the company web address that you would like attendees to visit for more information about your company.
  5. Select the categories for your products and services.
  6. Click on the "Save" button.

In the Exhibitor Console, click on Products, Show Specials, Press Releases, Videos.

Enter the description and images in the appropriate fields.

Click on the "Add" button to save and exit.

If you cannot click on these items then you need to choose an online booth upgrade. Visit the Digital Promotion Packages page.

Click on “Home" then click "Exhibitor Prospectus."
Click on “Reserve Your Booth." This will lead you to our Booth Space Contract. Your booth preference will be collected within the Exhibitor Application. Final booth placement will be done by DDW Show Management.
Click on “Exhibitor Tools" then click "Floorplan." On the floor plan, you will see three different colored booths. Yellow booths are already reserved by another company. Green booths are not currently available but might be placed back into general inventory. Blue booths are available.

Exhibitor registration for booth personnel will open in January 2021. In the Exhibitor Portal, click the tile called "Booth Personnel" in the Resource Center. If you need assistance, please contact Convention Data Services at ddw@xpressreg.net.

All booth personnel must be registered and will not be allowed on the Exhibit Hall floor without an exhibitor badge. 

Each exhibiting company is allowed an unlimited number of complimentary exhibitor badges for their booth personnel.

No, exhibitor and exhibitor attendee badges must pick them up onsite. If you are the main contact for your company, then you may pick up the badges for all of your staff at once or have individuals pick them up separately.

Groups of 20+ Rooms
Hotel will charge a non-refundable deposit of one nights rooms and tax on or about Friday, March 6, 2020 to the credit card on file.

Cancellation Policy
Groups of 19 or less Rooms
Guests must cancel reservations 72 hours prior to arrival to avoid a penalty of one nights room and tax. 

Groups of 20+ Rooms
Cancellations must be completed by Friday, March 6, 2020. After this date, cancellations will be charged a non-refundable deposit of one nights room and tax.

The My Exhibitors list contains the names of all the exhibitors you have tagged as favorites.

You can add an exhibitor as a favorite from any of your exhibitor lists by clicking on the star icon next to their company name. Your list of favorites can be found under the My Exhibitors tab.

Abstracts will be accepted at the DDW abstract submission site from Oct. 17, 2019, through Dec. 1, 2019. Late-breaking abstracts will be accepted from February 2020. Click here for more information.
There is a $60 non-refundable processing charge per abstract. (There is a $120 non-refundable abstract processing fee for late-breaking abstracts.) Abstracts will not be submitted until payment information is complete. Please note that this is a processing fee and not a publishing fee — abstracts not selected for presentation at DDW are also subject to the fee. Authors have the option of paying by Visa, Mastercard, or American Express. No purchase orders or checks will be accepted.
Refunds cannot be offered for any abstracts that have been submitted for DDW. The fees collected cover the cost to process the abstracts whether or not one attends the meeting.
DDW will award up to 20 Basic Science Travel Awards for the 2020 meeting. Selected authors of basic science abstracts will receive a $1,000 travel grant along with recognition at a reception during DDW. DDW does not guarantee attendance. Attendance heavily depends on your topic; however, date and time may have some impact based on conflicting priorities. Attendance is primarily driven by pre-show and onsite marketing efforts and tactics deployed by sponsoring organizations. Based on recent data, symposia averaged between 125-250 attendees. Generally, AM symposia have slightly fewer attendees than PM symposia. DDW does not track audience demographics at symposia.
Space assignments will depend on the specifications provided by the sponsoring or medical education company on the application.  Altering specifications after initial hotel placement can result in being moved to another hotel location.
No, DDW will assign space at several different hotels depending on meeting room availability.  No symposia will be assigned to the convention center. There is a possibility of multiple symposia in the same hotel during the same time slot. We try to keep this at a minimum but due to space availability, it may occur.
Symposia dates are May 22-25, 2021. Only AM and PM slots are available. AM symposia must end by 7:45 a.m., including question-and-answer periods. PM symposia cannot start before 6 p.m., including registration. The duration of the symposium is up to the sponsoring company and the hotel to arrange. A maximum of two AM and six PM symposia can be scheduled concurrently.

Each additional symposium by the same symposium organizer receives a $25,000 discount

  • Hotel space assignment only (does not include any food/beverage minimums, room, equipment or rental fees).  The sponsoring group is required to adhere to all hotel rules, regulations and food/beverage minimums.  All of these additional services must be contracted directly with the hotel.  DDW is not responsible for making any arrangements.
  • Listing in DDW News, DDW Mobile App, DDW email blast, the DDW website and at the Industry Showcase area (if space is purchased). Final titles are due in early March 2020.  Failure to meet this deadline can result in symposia information missing from any printed or digital publications.  These deadlines are driven by third-party partners and cannot be altered based on production timelines.
  • One pre-registration attendee list in CSV format provided in early April 2021; Pre-registration list will be exported from the registration database. DDW is not responsible for list clean up or integrity of this list.  Subsequent lists are 50% discount off regular prices.
  • Signage at each headquarter hotel.
  • Two complimentary attendee badges (per symposium) to non-ticketed DDW scientific sessions.  Information must be provided by April 15, 2021.
No. It is the responsibility of the sponsoring organizations to work directly with their assigned hotel staff for meeting room set up, catering, audiovisual or other services. Payment arrangements for hotel services must be made with your assigned hotel staff based individual hotel policies.
Yes, but this must be arranged by the sponsoring organization in accordance with hotel rules to include working with any exclusive contractors for this service.
No. You must provide or independently obtain the CME or CE certification for your activity.
DDW has no involvement in the content of the actual event, but we must review and approve all copy for invitations and flyers sent to DDW attendees and all signage that will be used for advertising in the hotel or at the supporter's booth.
DDW allows partners to post their presentations online as long as the presentation does not make mention of DDW. Presentations must be hosted by the education partner. DDW will post a link to the education partner's website on the Satellite Symposia Schedule page for attendees to view post-show. Links will be posted until Aug. 3.
Yes, however, it is the sponsor's responsibility to collect any contact information during the symposium and to acquire all the permissions to contact each attendee.  DDW cannot provide attendee contact information. All promotional materials for live streaming presentations or hosting presentations online must follow DDW's rules and regulations and must be reviewed and approved by DDW prior to release.
There is no deadline; however, slots are assigned based on receipt of payment.  We can accept applications until all the slots are full. However, in order for your symposium to be included in the printed and digital materials, your application and session details must be provided by mid-March 2021.

Yes. They are permitted in the DDW Theaters, which is located on the show floor. Presentations are permitted during exhibit hours (Sunday, Monday, & Tuesday 9:30 a.m. to 3:15 p.m.)
A 45-minute marketing presentation about your company’s products or services. These sessions do not offer CME credits, rather, they give exhibitors the freedom to create a presentation centered on their company’s products.
Each theater seats a maximum of 200 people in the Exhibit Hall of the convention center.
Slots start on the hour, between 9:30 a.m. and 3:15 p.m. The duration of the Product Theater is up to 45 minutes per time slot. Five presentations will be accepted per day on a first-come, first-served basis.
Attendance depends on date, time, topic and the marketing efforts of each company. Show Management does not track audience demographics.
All presentations will be assigned to the DDW Theaters in the convention center on the exhibit floor.
