General Information & Guidelines

Alcohol  All exhibitors shipping alcohol to Vinexpo America | Drinks America for any purposes (sampling, display, etc) are strongly encouraged to ship through W&S Logistics to ensure their product and shipment follows all protocol. Please find more information in their Shipping Manual for the event. 

Age Restriction

Due to strict US liquor laws, no one under the age of 21 is allowed at Vinexpo America | Drinks America. This rule applies to both visitors and exhibitors. There will be no exceptions! IDs will be checked at the entrance. Children will NOT be granted access to the show floor during exhibitor move in and/or move out, nor during show hours.

Cold Storage

Cold Storage will be available at no cost to all exhibitors at Vinexpo America | Drinks America. Any wine that cannot be stored within the exhibitors booth can be placed into cold storage. Storage coolers will be located at the rear of the exhibit hall.

 

Exhibitors have 3 options for delivering wine to their booth during the event from the Cold Storage Units:

  1. Exhibitors may hand carry their wine
  2. Event Management will have hand-trucks available for exhibitors to use to deliver their wine to their booths.
  3. Exhibitors may hire labor through Cultivated NY to deliver their wine for them. 

Cubic Content Rule

Vinexpo America | Drinks America will follow the cubic content rule, which allows exhibitors to make maximum use of their booth space. Under the cubic content rule, each turnkey exhibitor may build right up to the front of the booth, up to a maximum of  8’. 

Customizing Booths

  • All turnkey packages are prefinished. Absolutely no painting or additional carpentry will be allowed within your booth. Should you want to customize your Turnkey Package, please see the Freeman Online ordering website in the Order Event Services section of the Exhibitor Resource Center.
  • Should you want to hang a poster or graphic on your backwall, you must use S-hooks (Freeman can provide these at no charge on-site). Please note that absolutely no tacks, staples, tape or glue will be permitted. Any damage to the booth drape will be billed back to the Exhibitor.
  • Banners/signs should be made with grommets for hanging off the top of the drape.

Dismantling

Exhibitors are not allowed to move out, in part or whole, before the close of the show on Thursday, March 9th at 6:00 PM. All booths must be staffed until close of show.

Drones Operable drones are not permitted to be used under any circumstances.
Event Management Office

Diversified Communications will maintain a show office at the back of Hall 3 where Event Management may be reached from move-in, throughout the show and during move-out.

Exhibitor Kit

Every exhibitor will receive an Exhibitor Kit when they arrive onsite for the event.  Every Exhibitor Kit will contain the following accessories:

  • Spittoon
  • Corkscrew
  • Drop Saver and More!
 

**Ice Buckets are NOT included. A limited number will be available for sale.

Exhibitor Services

On-site Exhibitor Service Desks, including counters from the Javits, Freeman, Lowe, Cultivated, W&S Logistics, and MHW Importers will be located at the back of Hall 3.

Floor Covering

The Exhibit Hall is CARPETED and the aisles will be midnight blue carpet (black and blue speckles).

Food & Beverage

Cultivated NY is the exclusive Food & Beverage provider for the Javits Center. Should exhibitors wish to serve any food or beverage items (outside of their own product) to attendees,  it must order through Cultivated NY. Through Cultivated NY exhibitors may also skip the lunch lines and Pre-Order Food & Beverage for Exhibit Staff to be delivered right to your booth. 

Give-Aways & Lotteries

Exhibitors may sponsor raffles, giveaways, and lotteries within the area defined as their booth space as long as they are free and open to everyone. As a reminder, all food & beverage items must be purchased through the official caterer including giveaway prize food & beverage items. Please note that alcohol is not permitted to be raffled or given away.

Glass Delivery and Cleaning

Wine glasses will be available for Vinexpo exhibitors and spirits glasses will be available for Drinks exhibitors. Event Management has hired labor to continually clean and re-stock glasses throughout the duration of the event. Clean glasses will be readily available for attendees for sampling purposes at the entrance of the event as well as at individual booths.

Hand Carry Rules for North Javits
(New Expansion)

Specific Hand Carry Rules for North Javits (new expansion). If you intend to hand carry items into the event, please note the following: 

  • The use of passenger elevators or escalators within the expansion space may not be used for the purpose of delivering or removing exhibitor product or materials;

  • The lobby of North Javits may not be used to access any part of the building for the purpose of delivering or removing exhibitor products or materials;

  • Hand-carried items into North Javits (new expansion) can only be brought in through the rear truck entrance of the building located at 369 12th Avenue and only during event specified times;

  • All vehicles should enter at 369 12th Avenue (corner of 12th Avenue & 40th Street) and will be issued a Javits Center placard in order to stage vehicles.

Helium Balloons / Adhesive Materials  / Other Materials
Event Management does not allow hand carried helium balloons. However, large, tethered helium balloons are permitted at the Javits. Adhesive materials such as stickers, tape, or bumper stickers are not permitted to be used within your exhibit, nor may they be distributed. The use of glitter, confetti, sand, or simulated snow types of materials are NOT permitted in the Javits Center. Any costs incurred by Event Management for the removal of these items will be charged to the exhibiting company.

Ice

Ice is included and will be available to all exhibitors on both event days. Ice buckets are not included in your booth space. Exhibitors can bring their own or there will be a limited number available onsite for purchase. Large Buckets - $30  Small Buckets - $15

Labor Rules

Information regarding Union Labor Jurisdictions, EACs, and non-official contractor rules is located in the Shipping, Move-in & Move-out Information section of the Exhibitor Resource Center. We encourage you to review the Javits Operational Polices for more information.

Leftover Wine

Exhibitors have 4 options for leftover wines at the end of the event:

  1. If you have 1 case of wine or less (12 bottles or less) and would like to bring it with you at the end of the event, you may do so.
    • This exception is for EXHIBITORS ONLY.  Attendees may not bring wine out of the hall with them at any time.
    • The wine MUST be your own product.
    • Not more than 1 case (if you have more than 1 case, please see #2 and #3 below to make arrangements).
  2. If you already work with a licensed New York State distributor, your distributor may pick up those wines that already have COLA approval at the end of the event. To do this, you must contact Cultivated NY to schedule a pick-up.  You can visit them on site in the Exhibitor Service Desk at the back of the exhibit hall.
  3. If you do NOT have distribution in New York State, and your wine was brought into the U.S. on a COLA waiver, and you would like to return your leftover wine to its place of origin, MHW Ltd. (Vinexpo NY's official importer) can help you. Please visit a MHW representative at their booth on the Exhibit Hall.
  4. Leave wines in the hall at your booth. All leftover wine will be cleared away at the close of the event.
 

**Please be sure to remove your wine from the Cold Storage units immediately following the close of the event. Wines left in those storage units after 7pm on Thursday, March 9 will be discarded.

Liability Insurance Exhibitors are encouraged to carry their own general liability insurance as well as any additional property or theft insurance they deem appropriate, but are no longer required to provide to Event Management evidence of that insurance or name Diversified Communications as an additional insured on the exhibitor’s policy. As has always been the case, exhibitors remain exclusively responsible for theft or damage to their personal property and are advised to secure their valuables at all times. 

Maintaining Professionalism

Event Management reserves the right to prohibit or remove any exhibit which, in its sole discretion, detracts from the general character of the exhibition as a whole or consists of products or services inconsistent with the purpose of the exhibition. The right to prohibit includes persons (dressed in a sexually suggestive or offensive manner), things, conduct, printed matter, or anything of a character which the organizers, in their sole discretion, determine objectionable.  In the event of such prohibition or removal, the organizers shall not be liable for any damages, including refunds or other exhibit expenses.

Material Handling

All material handling for both alcoholic and non-alcoholic items will be included in your W&S Logistics shipping costs. Price is based on weight.

MHW Ltd

MHW staff will be available at Vinexpo America | Drinks America offering assistance to exhibitors who do not currently have an importer. MHW will be available to act as a temporary importer, offering assistance to import and execute transactions during the event. Exhibitors using this service are not required to sign up with MHW as a client but can use their resources to close a deal at the show and assist with orders. Move-In / Move-Out Hand Carry Guidelines

Hand-carried items into North Javits (new expansion) can only be brought in through the rear truck entrance of the building located at 369 12th Avenue and only during event specified times. All vehicles should enter at 369 12th Avenue (corner of 12th Avenue & 40th Street) and will be issued a Javits Center placard in order to stage vehicles. Music, Photographs, & Other Copyrighted Material

Each exhibitor is responsible for obtaining all necessary licenses and permits to use recorded music, photographs, and other copyrighted material in exhibitor’s booth or display. No exhibitor will be permitted to play, broadcast, or have performed any recorded music or use any other copyrighted material, such as photographs or other artistic works, without first presenting proof satisfactory to Event Producer that the exhibitor has, or does not need, a license to use such recorded music or copyrighted material. Event Producer reserves the right to remove or prohibit from the exhibit hall all or any part of any booth or display which incorporates recorded music, photographs, or other copyrighted material and for which the exhibitor fails to produce proof that the exhibitor holds all required licenses. The exhibitor shall remain liable for and shall indemnify, defend, and hold Event Producer, its directors, officers, agents, and employees harmless from all loss, costs, claims, causes of action, suits, damages, liability, expenses, and costs, including reasonable attorney’s fees, arising from or out of any violation or infringement (or claimed violation or infringement) by exhibitor, exhibitor’s agents, or employees of any patent, copyright, or trade secret rights or privileges.

Operating Your Exhibit & Sound Limitation

  • All activities must be contained within the exhibit area described in your application for exhibit space. No selling or promoting will be allowed in the aisles, other exhibitor booths, entrance/exits, or other public areas. Promotion of other events is strictly prohibited.
  • Attendees viewing video monitors must be within your exhibit space, not crowded in the aisles.
  • Music may not exceed background audio level. All speakers must be facing into the exhibitor’s booth and not away from the booth. Loudspeakers and carnival tactics will not be allowed. Please be a considerate neighbor. Event Management reserves the right to shut down any receptions, presentations, or other activities which are deemed obstructive or prohibitive for neighboring booths to be able to conduct business.

Paging In the Exhibit Hall

We are unable to page anyone in the exhibit hall.

Receptions & Special Events

Exhibitors who plan to hold an event during show dates must obtain written approval from Show Management. Please contact Veronica Fossett at vfossett@divcom.com.

Removal of Empty Bottles Bottles to be discarded at the end of the first show day should be left on the floor in the aisle in front of your booth. Bottles remaining on the counter, shelf, etc. inside your booth will not be discarded.
Security

24 hour facility surveillance will be maintained in the exposition area from the initial move-in period until the last piece of freight is removed. However, exhibitors are reminded that they are solely and wholly responsible for the protection of their own product and exhibit materials during move-in, exhibit days, and move-out.

Shipping Exhibit Materials
(Non-Alcohol)

If you have shipped non-alcoholic exhibit materials through W&S Logistics, those items will be delivered to your booth by Freeman Labor and you will be billed for that service in your W&S Logistics Invoice.  If you are shipping small, light exhibit materials perhaps consider carrying them with you (brochures, etc.), or sending them to the FedEx Office onsite at the Javits center to avoid material handling fees.

Smoking

The Javits Convention Center is a non-smoking and non-vaping facility.

Solicitation By Non-Exhibiting Companies For the protection of all Vinexpo America | Drinks America exhibitors, only those companies whose Application for Exhibit Space has been approved by Event Management will be allowed to present and sell their products. If a representative from a non-exhibiting company is seen Soliciting business on the show floor, please request a business card from that person and give it to an Event Management representative. We will take the necessary steps to curtail this activity.

Trade Event Only

Vinexpo America | Drinks America is a trade only event and is not open to consumers. During the registration process, attendees (non-exhibitors) are required to provide proof of trade related activity in the wine and spirits industry. All credentials will be reviewed. If credentials do not match registration information, or do not reflect activity in the wine and spirits trade, these registrations   will be placed on hold and the registrant will be contacted.

Wine & Spirits Delivery and Storage During the Event

Once W&S Logistics delivers exhibitor wine & spirits to the Javits Center loading dock, these shipments will be delivered directly to their corresponding booth. When exhibitors arrive on for move-in their shipment will be at their booth. Exhibitors can then unpack their product and set up their display. Any wine that cannot be stored within the exhibitor's booth can be placed into storage. Each exhibitor will be assigned a specific storage cooler to store their excess wine bottles. Exhibitors have 3 options for delivering wine to their booth during the event:

  1. Exhibitors may hand carry their wine
  2. Event Management will have hand-trucks available for exhibitors to use to deliver their wine to their booth.
  3. Exhibitors may hire labor through Cultivated NY to deliver their wine for them. 
Wireless Internet (Wi-Fi)  Wireless Internet (Wi-Fi) is available throughout public areas of the venue and in the exhibit hall. If you are streaming a video or presentation from the internet and uninterrupted bandwidth is vital, we recommend purchasing a dedicated internet drop for your booth.
