Shipping & On-site Logistics 

As you prepare for the event, please review the shipping and logistical information below to decide options will work best for you. Be sure to review all of this information to avoid surprises on-site. 

Shipping Options

If you will be shipping your materials to the event, please review your two options below. You can contact Freeman directly to obtain any related costs associated with either option. 

1) Ship in Advance to the Freeman Warehouse

ADVANCE SHIPMENTS TO THE WAREHOUSE
We strongly encourage large booths to ship to the Freeman Warehouse – Shipping your freight to the warehouse will ensure that your materials will be in your booth so that you can begin installation as soon as you arrive.  

Freeman will accept crated, boxed, or skidded materials beginning Friday, January 7, 2022, and will deliver the shipment to your booth. 

All containers must be labeled as shown at the right. Warehouse materials are accepted at the warehouse Monday through Friday between 8:00am – 3:30pm. 

To avoid additional after deadline charges, materials must arrive by Friday, January 28, 2022.
 

                                     

2) Send Shipments Direct to the Venue

DIRECT SHIPMENTS
Freight will be received at the facility beginning Saturday, February 5, 2022. Shipments arriving before this date may be refused and incur additional charges. 


 

Label All Freight For your convenience, shipping labels have been included for you to print. Make sure all freight is clearly marked with your company name, event name, and your booth number.
Move- In Hours
The installation of exhibits will take place as follows:
Saturday, February 5 8:00 AM – 7:00 PM 
Sunday, February 6     8:00 AM – 11:00 AM For final set-up preparations only
 
**All freight must be moved in, Exhibits set up, and aisles clear by 11:00am, Sunday, February 6th.
Hand-Carried Freight/ Material Handling Move-in and move-out through the convention center lobbies is strictly limited to hand-carry items. Examples of acceptable hand-carry materials include boxes, suitcases or fiberboard shipping cartons carried by one person, portable displays on wheels and small luggage racks.  The use of carts, dollies, flatbeds, pallet jacks or other mechanical equipment is prohibited.  Material requiring the use of wheeled or mechanical equipment for movement must be handled by Union Labor and delivered to the exhibit floor via the loading docks. If you will require labor for delivering your materials to your booth from the loading dock, Union Labor can be hired through Freeman.
Display Installation & Dismantling Work

Full-time employees of an exhibiting firm may install and dismantle their own respective company display if such work can be completed in less than sixty minutes without the use of mechanized tools.  Any outside or additional labor required for installation, dismantle or decorating of displays is to be performed Union Labor - the hiring of casual labor is not permitted.  


NOTE: Product display and placement is the exclusive right of full time employees of an exhibiting firm and not included in these work rules.  Please reference the Labor Jurisdiction for complete details on labor regulations.  

Exhibitors may hire an Exhibitor Appointed Contractor (EAC) to supervise the installation and dismantling of their exhibit. The EAC will not be allowed to perform labor required to set-up and dismantle the exhibit unless they are members of the appropriate local union. If you are hiring an Exhibitor Appointed Contractor, please complete the online EAC FORM  

Empty Stickers When your crates, cartons and other containers are empty, obtain EMPTY STICKERS from Freeman’s Service Desk.  Use the stickers to mark your crates, cartons and containers with your company name and booth number.  Leave the items in the aisle for pick up and storage.  Labeled materials will be returned at the end of the show. Remove old empty stickers.  Old stickers could result in empties being delivered to the wrong booth.  Do not store anything in these crates or cartons.  You will not be able to access them once they are removed to storage.
Move- Out Hours/ Dismantling
The dismantling of exhibits will take place as follows:
Tuesday, February 8 4:30PM – 8:30 PM
Wednesday, February 9 8:00 AM - 12:00 PM
 
No display material, in whole or in part, may be removed from the exhibit area prior to the close of the event at 4:30 PM on Tuesday, February 8th.  Please arrange your travel plans and schedule flights accordingly.
Returning Your Freight

If you have not done so in advance, you can make arrangements to have your exhibit returned by visiting the 
Freeman Exhibitor Service Desk area on site.  Every outbound shipment will require an outbound Material Handling Agreement and labels.

All carriers must check-in no later than 10:00 AM on Wednesday, February 9th. Drivers not checked in by this time will risk the possibility of their shipments going out on the house carrier at the exhibitor’s expense.  Be sure your carrier knows the company name and booth number when arranging for shipping your exhibit at the close of the show.
