Shipping & On-site Logistics 

As you prepare for the event, please review the shipping and logistical information below to decide options will work best for you. Be sure to review all of this information to avoid surprises on-site. 

Drayage Material Handling

Drayage – or Material Handling – is defined as the transfer of exhibit materials from point of arrival at loading dock to exhibit location, removal of empty crates, return of crates and return of exhibit to dock for load-out. If you will require labor for delivering your materials to your booth from the dock, union labor will be available to help you with your drayage.  Rates for this service are outlined in this section of the manual under Material Handling.  

Exhibit Installation
The installation of exhibits will take place as follows:
Wednesday, September 15th  1:00PM – 5:00PM
Thursday, September 16th 8:00AM – 5:00P
ALL EXHIBITS MUST BE MOVED IN AND SET-UP BY 5:00 PM, Thursday, September 16th at 5:00PM.
Exhibitor Set Up Exhibitors are allowed to set-up and/or dismantle their own booths ONLY under the parameters set forth by Miami Beach Convention Center. 
Installation & Dismantle Contractors Exhibitors may choose to work with a Non-Official Installation & Dismantle contractor. All Non-Official Installation & Dismantle Contractors must be registered by exhibitors. Please follow the link below to register and authorize your company to work at Miami Beach Convention Center

Labor

The International Floriculture Show has appointed Freeman Exposition Services as the official labor contractor. In order to ensure a sufficient number of qualified, skilled craftsmen for the installation and dismantling of your display, it is essential that you make advance arrangements with Freeman by using the labor form provided in this manual. During installation and dismantling, exhibitors must comply with local work rules and union jurisdictions. Failure to do so could lead to additional costs and delays in setting up and installing your exhibit. Please reference the Labor Jurisdiction document for further information.

Privately Owned Vehciles (POVs) and Loading Dock Information

Freeman will control access to the loading docks in order to provide for a safe and orderly move-in and move-out.

NOTE:  Exhibitors unloading their own materials will be charged for the storage of empty crates.  Contact Freeman for details

Empty Stickers

When your crates, cartons and other containers are empty, obtain EMPTY STICKERS from Freeman’s Service Desk.  Use the stickers to mark your crates, cartons and containers with your company name and booth number.  Leave the items in the aisle for pick up and storage.  Labeled materials will be returned at the end of the show.

Remove old empty stickers.  Old stickers could result in empties being delivered to the wrong booth.  Do not store anything in these crates or cartons.  You will not be able to access them once they are removed to storage

Dismantling

No display material, in whole or in part, may be removed from the exhibit area prior to the close of the show at 3:00PM on Saturday, September 18th, 2021.

Empty crates will be returned immediately after the removal of the aisle carpet. Due to the size of the show, it may take up to 3 hours to return all empty crates to the show floor

Saturday, September 18th 3:00 PM – 7:00 PM
Sunday, September 19th    8:00 AM – 12:00 PM
Returning Your Freight

If you have not done so in advance, you may make arrangements to have your exhibit returned by visiting the exhibitor service desk area on site. Representatives from various freight companies will be available to assist you.  

All exhibit material must be removed from the exhibit hall by 12:00 PM on Sunday, September 19th, 2021.  Failure to do so may result in Freeman Transportation Services shipping your materials, C.O.D., by common carrier, to the best available return address. 

YOU SHOULD DIRECT YOUR CARRIER TO CHECK IN WITH FREEMAN EXPOSITION SERVICES BEFORE 10:00 AM ON SUNDAY, SEPTEMBER 19TH, 2021.  

When your materials are ready to ship, you need to complete a Bill of Lading (or way bill) and give it to Freeman.  This contains your instructions to Freeman and your carrier that is shipping your materials.  You can obtain this form on-site from the service desk.

Shipping Options

If you will be shipping your materials to the event, please review your two options below. You can contact Freeman directly to obtain any related costs associated with either option. 

1) Ship in Advance to the Freeman Warehouse

Freeman will receive and store advance freight at their warehouse beginning Monday, August 16th, 2021 and will deliver the shipment to the loading dock for move-in. For details, please refer to the material handling information located in this section of the Exhibitor Service Manual.

Freight being sent for storage at the warehouse MUST be received at the warehouse no later than Wednesday, September 8th, 2021, to avoid additional after deadline charges. All containers must be labeled as shown to the right.

Please label your exhibit materials as outlined below, or use the Freeman Warehouse Labels.

2) Send Shipments Direct to the Venue
Freight will be received at the Miami Beach Convention Center on the following date and during the following times:
Wednesday, September 15th 9:00 AM – 4:00 PM
To avoid additional after deadline charges, materials must arrive prior to show opening.

3) Send Refrigerated Shipments Direct to the Venue

Refrigerated storage for perishable commodities will be available to exhibitors who wish to have the ability to retrieve their product/ merchandise on a regular basis. To guarantee this service, place your order for Refrigerated Storage through Freeman in advance by Wednesday, August 18. Orders received on-site will be handled an availability basis.

PLEASE NOTE:  Use the Refrigerated Shipping Label and remember that refrigerated storage cannot deliver before Wednesday, September 15. Shipments arriving at show site WILL NOT be placed in refrigerated storage without an order on file.

All refrigerated storage shipments that will not be shipped out will receive a 50% material handling discount. Please see Freeman material handling for pricing
