Raw Space Booth Display Information & Regulations

Please be sure to read the following information in its entirety and distribute to your staff and exhibitor appointed contractors. These regulations will be strictly enforced.

Height Regulations for all Raw Space Exhibitors

  • Island Booths may build up to 20 feet
  • Peninsula Booths may build up to 20 feet
  • Top of hanging signs must be hung no higher than the specified height restriction for your booth. Hanging signs are not permitted over standard in-line booths.
  • The Cubic Content Rule Still Applies: Exhibitors may utilize the entire booth space up to the maximum allowable height for their booth type.

Display Information & Regulations

The following rules governing what an exhibitor can and cannot do with their booth space are based on the physical characteristics of the hall, the wish to be equally fair to all exhibitors and the safety of all concerned.

Booth Walls Must Be Finished

All back walls and sidewalls must be finished or draped, no loose wire or any obstruction may be seen or Event Management, at the exhibitor’s expense, will drape them. See-through back walls or displays that do not cover the back wall entirely will not suffice.

Carpet

Carpet is included with Raw Space and required of all exhibitors.

Cubic Content Rule

Vinexpo America/Drinks America will follow the cubic content rule, which allows exhibitors to make maximum use of their booth space. Under the cubic content rule, each exhibitor may build right up to the front of the booth, up to the maximum allowable height. As a courtesy to your neighbor, please take your neighbor’s visibility into account. Consider placing your equipment further into your booth as opposed to blocking line of sight.

Good Taste and the Rights of Others

Event Management may require any exhibitor to make changes in his exhibit if, in Event Management’s opinion, the exhibit does not conform to the prevailing standards of good taste or interferes with the rights of other exhibitors.

Handouts

Distribution of literature, samples or other materials outside your contracted exhibit space is strictly prohibited. The distribution of any samples, literature or other materials from a non-exhibiting company (one without a contract to exhibit) is expressly prohibited. No literature may be distributed outside of your booth.

Hanging Signs

Hanging signs must comply with the display regulations. This includes all hanging or suspended material such as banners, etc. The top of the sign (or other material) may not exceed the height limitation specific to your type of booth. Hanging signs & graphics should be set back five feet (5’) from adjacent booths. Hanging signs are not permitted over standard inline booth.

Maximum Allowable Booth Heights Due to Ceiling Restriction:

  • Peninsula Booth – bounded by 3 aisles and at least 20’ in depth.            20 feet
  • Island Booth – bounded by 4 aisles          20 feet

Remember, all outside walls and signs must be “finished”. Event Management will mask or “drape” all areas that are not professionally finished. This will be done at the exhibitor’s expense.

Liability Insurance

Exhibitors are encouraged to carry their own general liability insurance as well as any additional property or theft insurance they deem appropriate, but are no longer required to provide to Event Management evidence of that insurance or name Diversified Communications as an additional insured on the exhibitor’s policy. As has always been the case, exhibitors remain exclusively responsible for theft or damage to their personal property and are advised to secure their valuables at all times.

No Graphics on Neighbors’ Side

The backside of walls – the common border facing a neighboring booth – must be devoid of copy, logos or other graphics, so as not to be an eyesore to neighboring exhibitors.

No Nails or Screws

Nothing may be taped, posted, tacked, nailed or screwed to columns, walls, floors or other parts of the building. Event management will remedy any damage or defacement caused by infractions of this rule at the exhibitor’s expense.

Sound Levels

Music may not exceed background audio level. All speakers must be facing into the exhibitor’s booth and not away from the booth. Loudspeakers and carnival tactics will not be allowed. Please be a considerate neighbor. Event Management reserves the right to shut down any receptions, presentations, or other activities which are deemed obstructive or prohibitive for neighboring booths to be able to conduct business.

Storage

Fire regulations prohibit storing product, literature, empty packing containers or packing materials behind back drape. In most cases, however, exhibitors may store a limited supply of literature or product appropriately within the booth area, so long as these items do not impede access to utility services, create a safety problem or look unsightly.
