Shipping Information
As you prepare for the event, please review the shipping and logistical information below to decide which options will work best for you. Be sure to review all of this information to avoid surprises on-site.
Shipping Options & Labels
1) Ship Materials in Advance to the Freeman Warehouse
|
We recommend all exhibitors ship to the Freeman warehouse in Las Vegas, NV where they will store your materials for up to 30 days prior to the show. Freeman will receive shipments from August 5th – August 27th from 7:00am – 2:30pm Monday through Friday. Please label your exhibit materials as outlined below, or use the Freeman Warehouse Labels.

2) Ship Materials Directly to the Venue |
Direct shipments to Caesars Forum will only be accepted by Freeman beginning on September 2nd. Please label your exhibit materials as outlined below or use the Show Site Shipping Labels. Shipments arriving before September 2nd may be refused and incur additional charges. Please note: all materials received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor. *Please note. Monday September 2nd is Labor day and over time rates will apply. This does not effect material handling.
If your shipping carrier does not deliver on Monday due to the holiday, your shipment will be delivered to the venue on Tuesday. We encourage exhibitors to ship your materials to the Freeman warehouse to ensure that your materials are in your booth for Monday or check with your carrier for Monday delivery options.*

Heavy Freight |
To expedite the handling of your exhibit material when it arrives in Las Vegas, please adhere to the following: Single uncrated pieces weighing over 500 pounds (225 kg) should be skidded. Single pieces weighing over 8,000 pounds (3,600 kg) should be skidded and fitted with lifting rings. Freeman should be notified in advance of any single pieces weighing over 5,000 pounds (2,200 kg). |

Installation / Move-in Information
Installation / Move-in Schedule

Move-In will take place on:
Monday, September 2, 2024 8:00 AM - 5:00 PM
Tuesday, September 3, 2024 8:00 AM - 5:00 PM
*All exhibitors must be moved in and set-up by 5:00pm on Tuesday, September 3rd.
Set-up and dismantle labor must be performed by your own full time employees or by union labor. Union labor must be hired through Freeman. The hiring of casual labor is not permitted. Exhibitors may hire an Exhibitor Appointed Contractor (EAC) to supervise the installation and dismantling of their exhibit. The EAC will not be allowed to perform labor required to set-up and dismantle the exhibit unless they are members of the appropriate local union. If you are planning to use an Exhibitor Appointed Contractor, please complete the Exhibitor Appointed Contractor Form and submit it to Event Management.

Drayage/ Material Handling |
Drayage – or Material Handling – is defined as the transfer of exhibit materials from point of arrival at loading dock to exhibit location, removal of empty crates, return of crates, and return of exhibit to dock for load-out. If you will require labor for delivering your materials to your booth from the dock, union labor will be available to help you with your drayage. We encourage exhibitors to have their material delivered to the warehouse in advance to take advantage of the most cost effective material handling rates. |
Hand-Carry
|
If you are hand carrying your items in, you will need to go to the self-parking garage at Harrah’s and walk over to the exhibit hall using the connecting bridge from Harrah’s to Caesars Forum.

Personally Owned Vehicles (POV's)/ Cart Service |
Privately Owned Vehicles are defined as cars, pick-up trucks, vans and other trucks primarily designed for passenger use, not cargo or freight. Vehicles that do not qualify for this service, or that have material that requires mechanical assistance to unload, will be directed to the Freeman Marshalling Yard.
Workers equipped with a flat cart scooter will assist exhibitors with unloading. Each cart will handle a load approximately 3' wide x 4' long x 3' high. Freight must not exceed 300 lbs. For safety reasons, it will be the judgment of the freight supervisor if the load can go higher than 3 feet. Cart Service includes storage of empty cardboard/product boxes at no additional charge. Empty stickers for your cartons and cases will be provided for this service. |
Dismantle / Move-Out Information

Thursday, September 5, 2024* 3:00 PM - 10:00 PM
Freeman will begin returning empty containers as soon as the aisle carpeting is removed or plastic covering has been laid in the aisles of the exhibit hall.
*Please Note: All exhibitor materials must be removed from the exhibit facility by 10:00 PM on Thursday, September 5. To ensure all exhibit materials are removed from the exhibit facility by the move-out deadline carriers must check in no later than 8:00 PM on Thursday, September 5.

Dismantling |
All booths must be staffed during all expo hours. Exhibitors are not allowed to begin dismantling their exhibits, in part or whole, before the close of the show at 3:00 pm on Thursday, September 5. Please review the Event Schedule and plan accordingly when booking travel for the event. At the close of the Expo, all exhibitory must be removed from the halls at the expense of the exhibitor. The Exhibitor shall reimburse Diversified and the General Services Contractor for all costs incurred due to its failure to comply with this requirement.

Returning Your Freight |
If not done in advance, you may make arrangements to have your exhibit returned by visiting the Exhibitor Service Desk area on site. Every outbound shipment will require an Outbound Material Handling Agreement and labels.
All carriers must check in no later than September 5th at 10pm. Drivers not checked in by this time will risk the possibility of their shipments not going out on the house carrier and incurring additional costs. Be sure your carrier knows the company name and booth number when making arrangements for shipping your exhibit at the close of the show.
